Volunteer Guidelines
Responsibilities of Volunteers
THANK YOU for volunteering at the 2012 Ghent Winter Bar Tour. The following outlines your responsibilities while at the event. ALL participants and volunteers can be identified by the lavender wristbands (or yellow designated driver wristbands) they will be wearing.
- Give the following to every participant that enters the bar at which you are volunteering. Note that participants do not necessarily need to purchase anything from the bar to receive these items.
- ONE sticker on their bar tour map from the sheets of labels we provide. The participant should choose ONE empty space in the gamecard section of their map and you (not the participant) should place the sticker in that space. Draw an X completely through the sticker with you permanent marker (labels lacking an appropriate X will be deemed ineligible). Note that we cannot accept anything other than our official sticker labels for competition winners.
- ONE sticker on their bar tour map from the sheets of labels we provide. The participant should choose ONE empty space in the gamecard section of their map and you (not the participant) should place the sticker in that space. - Talk to the bartender and find out what specials are being offered to participants so you can answer participants’ questions on this. (Yes, these are printed on the specials menu given to each participant but bars do not always follow what they promised us earlier in the week, particularly when certain items begin running out later in the night.)
- Remind participants they can pick up their bingo prizes at the Belmont Block Party starting at 8:00 PM until 9:30 PM or when prizes run out. The Belmont will have their entire restaurant plus the back parking lot available to all participants and volunteers. Live music, lots of beer, cornhole, and much more will be outside at the block party. We will announce our charity fundraising total and scramble prize winners sometime around 9:30 PM.
- Take as many “good” photos as possible with the disposable camera we provide (no pictures of brick walls and half of a nose please).
- For second shift volunteers, please return ALL supplies (disposable camera, permanent marker, and leftover stickers) to the prize table at the Belmont when your shift has ended. This will help save us the hassle of hunting you down for those items later.
- Have fun! Should you need any information not answered by this sheet or the people in your surroundings, please call one of the following event organizers at the phone numbers listed below. In case of emergency or abuse by any participants, please contact the bartenders and/or the police immediately. Thanks again!
- If your bar is designated a ‘private party’ location, please keep an eye on any patrons not participating in the event (no wristband). If the bar starts becoming crowded and non-participant patrons are still present, please call one of the event organizers below.
